Direct answer: Agree one current document register before handover. For each item, record its version, issuer, review status and receiving owner. When information changes, identify the affected files and obtain confirmation that the receiving team is using the revised pack.
Build a register your receiving team can use
Start with the document list agreed for the exact vehicle transaction. Ask your destination specialist to confirm which documents and formats apply. The fields below help manage that list; they do not establish a universal customs checklist.
| Field | Question to close |
|---|---|
| Document name | Which agreed item does this file represent? |
| Issuer and reference | Who issues it, and which transaction does it describe? |
| Version and date | Which revision should the receiving team review? |
| Status | Is it a draft, ready for review, confirmed current or superseded? |
| Open question | What information remains unresolved, and who owns the answer? |
| Receiving owner | Who acknowledges the current pack and reports discrepancies? |

Check shared information across the current files
Where relevant to the agreed transaction, compare the vehicle description, model or version, quantity, transaction references and named parties across the proposed commercial, inspection, packing and transport information. Use vehicle identifiers when assigned and appropriate for the authorized recipients. Keep private identifiers out of public posts and demonstration materials.
If two files disagree, record the conflicting fields and ask the responsible issuer to resolve them. Do not change an issued third-party document yourself to make it match another file. Preserve the revision history and make the approved current version easy to distinguish.
Count document items rather than filenames
Illustrative arithmetic: six document items with two saved versions each produce twelve files. That is still six document items to manage. The number of files says nothing about whether the applicable requirements are complete or the latest information has been accepted. These are assumed counts, not a Tormays transaction or a clearance threshold.
Keep older versions in a clearly separated archive with restricted access where needed. Use an agreed revision label and date, and retain the reason for each replacement. Avoid making the recipient guess between filenames such as final, final-new and final-latest.

Close the handover with an acknowledgement
Send the register and current files through the agreed channel. Ask the receiving owner to acknowledge the revision, identify missing items and confirm how corrections will be communicated. Check access before relying on a link that may expire. Acknowledgement of receipt and acceptance for a particular purpose are separate decisions.
- Confirm the transaction-specific document list with the responsible specialists.
- Name one current revision for each item and separate superseded files.
- Record conflicting information and have the issuer resolve it.
- Keep receiving acknowledgement and any open conditions with the register.
Tormays can help coordinate available vehicle and export-document inputs within an agreed sourcing scope. The importer and relevant specialists confirm destination requirements and acceptance. This guide does not establish import approval, carrier acceptance, banking acceptance or a shipment release.
